Is it ok to just make a picture with my mobile phone of all the documents needed and upload them or do they have to be scanned ? Also will a portrait picture with my phone be accepted ?

Although cannot find any refence i think they prefer documents to be uploaded as PDFs plus the photo needs to be passport size/ quality not a selfie for example. To avoid rejection I would try getting scanned copies and a proper passport photo, decision is yours.
