That is the exact issue. They decline to send a common reply. Charges are excessive, though I will pay if it gets the job done.

For Option 1, even if they mention the 10 digit reference number on the envelope, it won't work?

Bro, you have to make them agree for common email reply, only that will work. WES is very strict. My institute received email on registrar@xyz and replied from asst.registrar@xyz & wes refused and again email was sent from registrar@xyz which was accepted.

Uh oh :( No, just the sealed transcript with the 10 digit reference number is highly unlikely to work. WES wants a clear verification to be conducted, not just the same documents resent, even if by the issuing institution itself. That is why even sealed transcripts sent directly by issuing institutions have come under the scanner.

@Mkface03 - Did you check the documents that they have attached in the email? They only attach the documents sent in the sealed envelope by you or your institute and which will be transcript only (and not Degree along with it) in case of DU.

If thats the case you only need one department to certify the authenticity of docs. Also -Why dont you open one of the 5 transcripts you have to the Dean office and show that this is issued by DU and the one sent in the email is same. Try persuading them to certify then and there only.

Yes I did check.
The email had two attachments,
- The first being the transcripts sent in the sealed envelope. It has a WES Stamp on it which says "Received directly from institution".
- The second attachment is actual MBA degree's photocopy. It has a WES Stamp on it too, which says albeit surprisingly, "Verified".
Adhering to WES specifications, both these had been put in a parcel and sent to WES for evaluation.
So indeed there are two set of documents for which the verification is requested.

PS: BTW how to add an image to a conversation?

I see - Given the complexity here - I would then suggest to use fax - both the departments verifying the authenticity will fax their individual documents (degree, transcripts) along with a letter on DU letter head certifying. They should include the unique ref number. Email will be an issue because if they will send from some other email id then WES may not even accept the verification.

BTW, WES sent the verification email to REGISTRAR, who forwarded it to the DEAN to the take action.

After running pillar to post at the university, with a plea to send a common email, they said they "may" consider it, and asked me to come again tomorrow to see what is possible. However they have specified that under no circumstance does the REGISTRAR replies to emails. At best they DEAN can send the common email, even though it is the REGISTRAR who received it first. Do you think it will have a high chances of failure if the DEAN sends a verification? Even getting to talk to someone in REGISTRAR office is hard with a high degree of security and bureaucratic setup.

PS: Do you mind to advice on how to attach a screenshot? I could have shown the thread in which the email is forwarded from REGISTRAR->DEAN

I spent most of the day today talking to the DEAN's staff. They just don't allow any access to the REGISTRAR office, and said that even IF there were hypothetically any chance of sending a combined email, it will only be sent by the DEAN's email address. They put it upfront that REGISTRAR never sends any such emails, and neither has done it in the past. So even if I succeed in convincing them in sending a combined email, the fact that it will be sent through DEAN's email id, do you mind to share your opinion on what are the chances of acceptance?

Similar thing has worked in my case as well. WES sent the email to Director email ID whose secretary forwarded it to the PGP (Post Graduate Programs) office. PGP office sent the verification email to WES and it was accepted. It was the case not only with me, but for all candidates from my institute whole applications had been put on hold by WES. So try to find out if similar other cases have happened for FMS and whether Dean has sent the verifications in those cases as well.
As others have pointed out, multiple emails may create more confusion for WES, so try for a single consolidated email.

Frankly, I do not know if PGP office sent a fresh email or used the same thread as WES->Director->PGP office, but I assumed it would be the second one. I requested PGP office to forward me the email once they sent it, but the guy didn't want to and I didn't press. He was willing to hand over a print of the email if someone went there on my behalf (I am in a different city now).
But thankfully my ECA status changed from On Hold to In Progress the next day, so didn't have to do anything else.

Thank you so much this was quite helpful & clear. Now I know what I have to do... :)

Will update once I get this process done.


1) Your institute needs to verify the authenticity of the document that WES has received. You dont need to send transcripts again - That wont solve the issue

2) You need to figure out on which email id/ postal address they have send the verification email or documents. The email/postal documents has a unique reference number ( the number is different from the one you have) and the institute needs to reply to WES in a proper format quoting that unique reference number and certifying the authenticity of transcripts. Once that is done you will get out of Hold

To summarize - find out whether your institute has got that communication from WES and then follow as per point 2. If your institute has not received the communication from WES then request WES to send the same to the right person (email id) through contact us page on WES.

My AOR is 12th June, got medical passed update on 27th June and IP1 on 28th June. On 30th June I randomly checked my WES account and found that my ECA report is "Under Review" from 27th June. I had no idea about it, no call, no email from WES, just found it by chance!

I received my ECA on 1st February 2018, got original report by post within few days. I have uploaded scan of my original ECA report in education section along with certificates and transcripts.

My Education: Higher National Diploma & Top Up Bachelors degree from UK.
ECA: Diploma (two years), Bachelor degree (four years).
CRS: I got points for 'two or more degree'.

Have any one of you ever come across such case where WES ECA report gone to "under review" after AOR? Now I don't see my ECA report online anymore. However all documents showing reviewed and accepted. I didn't request any review then who initiated the review?

Initially they sent an electronic report to CIO Sydney, Nova Scotia. So IRCC must have looked at it already! I guess it is IRCC officer's review request because the WES status changed to "Under Review" on the same day I passed the medical.

A four month old ECA report which is already finalised and sent to recipients should not go "Under Review" without a official concern by IRCC. Really frustrated!

Is there any chance that WES downgrade my result and only award a bachelor degree? Is my application gonna be rejected? But its not my fault if there is any problem in ECA and system awarded me points I didn't misrepresent anything. I am really clueless. Please advice seniors!

Thank you so much for the detailed reply. I can't express my gratitude enough.
I could finally succeed in getting a confirmation yesterday from DU that they have indeed received the email. Post mail isn't still received yet. They have asked me to come today to discuss the next steps.

I have seen multiple posts in this forum which mention that their their verification process was put on hold even after receiving an email from college due to "insufficient information". I am assuming that the a reply containing the below should be "sufficient information"?
1. WES Reference Number
2. The 10 digit Email Reference number that university received
3. The 7 digit Email Reference number that I received
4. A one-line confirmation like "This verification is being done against the request sent by WES. The documents provided by WES are in order to proceed with the evaluation of the concerned candidate"

However could you please correct me if I am wrong, or giving more information than required?

The verification for my wife’s documents have been sent as per mail received from WES yesterday but today I checked and no mail received for her reference number. They were matching the last 4 digits of reference number with 10 digit mentioned in verification mails. Can it take time for verification mail to reach university. It’s the same university for which my verification mail was sent and it reached to university on correct ID

@Nishika22 and @RedCherry - did you guys receive any email after wes received and accepted the verification from institute,my case was moved to in progress on June 21 (with completion date of 6/26) but no emails. We are regularly checking the account.
No response from WES..till now..my completion date as listed by WES is 6th July..but no change in status till now
