Hi,

I am the applicant and my sponsor applied for spousal sponsorship application, on Nov 2013 last year. A week later we received an email from CPC-M indicating that the application is received and queued for processing. In this AOR email there was a UCI number ( a 8 digit number with no hyphen or space) and another number called Application/File Number (Starts with a letter and 9 digits) at the top of the email we received from CPC-M

I tried today to order for CAIPS notes and it asked for the UCI in a format of XXXX-XXXX , I checked the ecas with UCI with both formats of with or without a hyphen. All i am receiving is an error saying that "We were not able to identify you using the information you provided.", although if use the Application/File number i can get my details.

What could be the problem, is there a possiblity that CPC-M gave us the wrong UCI. Although the Application/File number is working?
Or is UCI only active when the VISA office start to work on the application?
Can I order CAIPS notes with File number? although what they are requestin on their page is UCI.


Kindly advise.

What I was trying before was accessing the ECAS using UCI and applicant detail.

From my understanding, Application and file numbers are for applicants and UCI is for sponsors.

When we logged in with the sponsor's detail and UCI we landed at website with two details

Stage 1: Decision made.
Stage 2: it contains the same info of when logged in with Application Number and applicant details.
 
The UCI that came with the AOR email belongs to the sponsor. Once the file is sent to the visa office for processing you (applicant) will also be assigned your own UCI. In the meantime, you can use the file number + applicant's info to access ecas.

I didn't receive any UCI from the VISA office ( I am the applicant ) and our sponsorship file was transfered 3 months ago from CPC-M to my VISA office, Does this means my file is in queue and not processed yet and i need to wait until i get the UCI from them and order GCMS notes?

When we use the Application file number with the AOR sent to the sponsor all we see on the ECAS is that our application arrived and also that Medicals are received as well.
 
I have been reading on the forum that some overseas visa offices send out AOR when your file is transfered to their office while others don't. Perhaps, yours doesn't. I don't think it means your file is in queue, probably it's in a "document bin" in their office waiting for when it gets opened. :)

You don't need your own UCI to order GCMS notes. Your sponsor can order the notes on your behalf either using their own UCI or the file number. There is an option to get notes for both "sponsor and applicant". The sponsor would need your permission though - there is a form called, "authorization to release personal information" on CIC's website. Complete and sign it, send a copy to your sponsor and the sponsor can request the GCMS notes under the Access to Information Act for a $5 fee. Voila! Also, whoever is making the request(your sponsor in this case) has to be in Canada at the time of the request and they request certain documents as proof.


Note:
If the sponsor was only requesting on their own behalf, they would do it under the Privacy Act free of charge.

You must be seeing something like:
1. application received on xyz
2. medical results have been received?

Is the date showing in #1(on your ecas) before the date you got sponsor approval? If so, #1 is the date your application reached CPC-M(at the very beginining) not when it got to visa office overseas.
