I think as jes_ON said, it's better to write an email to VO in Warsaw, and another email to VFS global in Warsaw.

My VO located in Moscow, though, but still I think experience would be the same.
How quick was passport processing at the VO?
And how did you manage to get passport back?
What courier service have you used?
