Administrative officers perform some or all of the following duties:
- Oversee and co-ordinate office administrative procedures and review, evaluate and implement new procedures
- Establish work priorities, delegate work to office support staff, and ensure deadlines are met and procedures are followed
- Carry out administrative activities associated with admissions to post-secondary educational institutions
- Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
- Co-ordinate and plan for office services, such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Conduct analyses and oversee administrative operations related to budgeting, contracting and project planning and management processes
- Assist in preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- May supervise records management technicians and related staff.
- Working on the team that manages IA’s largest and most complex clients
- Analysing and responding to requests (moderate to complex) from clients and internal partners
- Analysing pension plans of clients, performing reconciliations and identifying, reporting and questioning missing periods and generating customized option packages thereafter
- Receiving securities trades on a daily basis from clients and ensuring they are accurately and promptly entered to the investment funds' records
- Interpreting and analysing documentation for the input and processing of registered and non-registered investment transactions
- Providing account management and servicing activities for client accounts
- Prioritizing work and distributing tasks among team members to ensure a high level of productivity and accuracy is achieved at all times
- Respecting financial deadlines as well as compliance with policies, rules and government legislations
- Verifying financial and non-financial transactions of the team
- Identifying problems, mudas (mundane tasks) and proposing viable solutions for improvement of administrative procedures through different LEAN tools
- Providing a high level of customer service (requests received and required follow ups)
- Preparing monthly special reports and taxation slips for clients and authorities
- Participating in DMS (Daily Management System)
- Contributing toward building and maintaining a positive environment where all team members can learn, share knowledge and collaborate.
