First, relax. The Embassy has a lot of steps they need to take to review your application and all the others they have.

1) Receive your application

2) Check for eligibility
For every application they receive, the first thing the visa office has to do is ensure that the application is complete per the regulations and that the CIO did indeed tell the applicant to send it to them. Here, they are just checking that all the forms are there - they don't look at anything in detail yet. If the application is complete, the visa office has determines that it is eligible for processing by them and put it in the queue for a detailed review (based on the received date). In this case, the visa office also "pulls" the file from the CIO to the visa office.

If the application does not seem to be complete - depending on what is missing - the visa office will either send the application back to you or send you a request additional documents. If it is, they move on to send the AOR.

3) Send AOR
If the visa office determines that the file is complete and from a cursory review they have all the documents, then they will send you a letter (or e-mail) acknowledging receipt (on this forum known as the 2nd AOR).

4) Review application
Once your turn is reached in the queue for the detailed review, ecase status will change to "IN PROCESS"

This is a long step with many sub-steps. In essence, a consular officer will check the details of your application to check whether you meet the 67 points. They will also check validity of all the documents you sent, verify the documents (e.g., by making calls or visiting people and places), and determine if they need to interview you. If additional documents are needed in any of the steps, they will contact you. Otherwise, they will just check each of the categories that give points (education, language, work experience, etc).

Once the 67 points are met, then they will move on to other steps including medicals and background check. This takes time because you need to get medical tests done, etc.

5) Decision is made
A decision is made when all the above is completed and you are approved, or when they decide that applicant does not qualify and should be rejected.

This is just a short summary of some elements of the procedure outlined in OP6. Hope it helps you see that it is a very long process with many steps that the visa office has to go through for each application. So, it's a good thing you are in process! They have no questions so far and your application is going step by step. You've done the hard part that involves work by putting the application together; now it's about the hard part of waiting.

Hope that helps, canadaforall.

Dear OHCANADIAN

As per new system in process means applicant got 67 points its does not mean that application just open front of visa officer, now a days chc sending rejection before status gos to in process officer has taken decision on the application and he will put code in capis PSDEC 1 its mean his paper selection has done, i am agree refusal can be happen any time before visa but in process in good sin for applicant thanks.

Hi OhCanadiana,
Thanks a lot for the response. Yesterday my friend who had a fax machine finally succeeded in faxing it through. I have also sent the scanned copies.

If my university sends the transcripts in the university envelop later, should i still forward them to the visa office or the fax and scann copies are sufficient?

Thanks very much, now i will sit back and wait for their response.

Hi Drooza,
Thanks for the response. I will be waiting, as the visa officer has said " your file is being processed" My E.case never changes to the next stage, so i will only depend on the information from visa officer. My E.Case is still showing the same old information from Nova Scotia. It is a little strange that my e.case never changes , but in so far as my file is moving i am fine.

Now i know couple of things now from the members of the forum.

All the information has help me so much.

Thanks for your inputs.

Canadaforall.

I have a question:
If someone gets the opportunity to improve his/her score, can it be used as a back up later on. For instance, if I my second language proficiency was basic at the time of full documents submission, but now (and while my full doc is under review) I improve in the language and can get a better score in the official language exam, can that language improvement (which means more score) be used and presented to visa office when necessary?

Dear Ohcanadiana. Thanks for your insight into the process and various stages.
Could you please analyze my situation and provide your valuable comments.

I filed my application under FSW 3 category. Got my CIO, Sydney AOR in February 2010 and my complete application was received at Buffalo Consulate on 29 March 2010 (as per FedEx courier detail). My e-Cas still shows CIO, Sydney approval and I have not received Buffalo AOR till date. I sent an e-mail (with scanned copy of courier detail) to Buffalo Consulate on 3 June 2010 to enquire about status of my application and got an auto-reply only. It has been over 3 months since they received my docs and I still await to hear from them.

What could be reason for this delay? Could they have misplaced my documents? What are the options open to me? Although Buffalo Consulate website mentions that it could take upto 5 months to issue AOR but I know from this forum and trackitt.com that many applicants who submitted their applications around my time line or after have received their second AOR.

Your comments will be greatly appreciated.

It sounds like you've done everything you can do so far to find out what the status is. At this point, as hard as it may be, it seems like your best bet is to wait until the 5 months are up and then e-mail them an inquiry again which they are more likely to answer. Unfortunately, given how busy visa offices are, the policy is that they do not need to respond to any inquiries made "within normal processing time." The good news is that from the dates you mention, you've passed more than 3/5 of that already.

If you still haven't heard after the 5 months are over, use the following:
1) Go to http://www.cic.gc.ca/english/information/offices/apply-where.asp
2) Click on your visa office
3) Scroll down and click on the link to the right of "case specific enquiry"
4) Follow instructions through disclaimer, consent, security test, and then you'll get a form with the ability to upload the scanned version of your degree (and a cover letter if you want)
5) Submit
and refer to everything you mentioned in your post - the dates you originally sent the complete application, the delivery confirmation, and the follow up e-mail you sent them.

Hopefully you won't need to do this though, and you'll hear back from them really soon!

Hi Pasi / OhCanadiana,

My application has the following tracking:

1) Application transferred to New York (NYC) from Buffalo on April 27, 2010.
2) The current status as of July 03, 2010 is "Your application was reviewed and we started processing on June 24, 2010."

I have 2 questions:
a) I am little nervous as some people have got rejection too after this stage. I am probably googling too much. Any thoughts?
b) Does the medical request come through post mail or email? I am away from my residence for the summer and am worried that my postal mails might be lost.

Thanks for you help,
MathCanada

Hi, I got my medical request through email at first, but the medical form Section A came from regular mail.

I don't know what your visa office is, so I can't check the specific requirements, but in most cases they ask for sealed transcripts. If that's the case, you should send them the transcripts in the university-sealed envelope when you get them (the scanned copy will only serve as a preview of what you will be forwarding)

Hi OhCanadiana,
Thanks very much. Yes, i will send it as soon as i have it with me. I got it today and i am posting it.

Now i am so relaxed with all the help you people have given to me. All i will do is to relax and wait for them to do their job.

This is what i think in my mind sometimes, that if the people of the world were as friendly like the people in this forum, then they will be no reason for fighting with each other.

I am so happy to be a member of this forum. The people are so friendly and helpful.

Thanks once small to OhCandaiana and the rest of the members.

Drooza,
thanks for compiling this info. My question is based on your write up

".......If the application does not seem to be complete - depending on what is missing - the visa office will either send the application back to you or send you a request additional documents....."

If the appplication is sent back to me and I resend a whole package again and of course by that time the new application will reach CHC Buffalo after 120s elapsed -- would that invalidate the application..
I would say logically - no - it would not - but I need yours or others' opinion on it.

Thanks
