how to file a request for extension of submission of documents

hi guys! I would just like to ask if anyone has an idea on how to submit a request for extension of submission of dosuments here at the embassy of Canada in Hong Kong? I may not be able to submit my passport within the 14 day period they gave me since I am going back to the Philippines first. Everything else has been submitted to the embassy already.

Send them an e-mail or a physical letter and advise them of the timing.
